Summary/Abstract: Issues of document digitalization are complex and broad, and tendency is to discover new solutions to overcome difficulties encountered. Nowadays, the most common manner of digitizing documents is batch scanning. That implies gathering all paper documents, transfer periodically to scanning location and capture by high volume digitizing devices. During this paper documents digitizing procedure there are many deficiencies. Transactional or contextual scanning is offered as solution that minimizes shortcomings of classical method of digitizing documents. Transactional or contextual scanning is capturing (scanning) of documents that happens simultaneously with the act of document creation. Context aware applications are able to monitor: who (identity), where (location and collaborators), when (time) and what (activity) the user is doing, while using this information to determine why the given situation is occurring. Within proposed solution the paper document is scanned as close as possible to the source of its creation or entering the organization. Only the innovative and comprehensive thinking may lead to solution that removes difficulties in operation. Documents’ scanning as a way of elimination paper documents from processes within organization or institution is a development leap requiring careful planning. Multiple problems named beforehand could be solved by using transactional or contextual scanner, made of hardware component and simple scanning application. These two components are encircling the complete computational solution for document capture. The scanner performs digital conversion of paper document and the software in harmony with context of operation being performed, enables the user to capture significant quantities of paper documents with minimum interaction. Introducing transactional or contextual scanner we may achieve: improvements of existing processes, lowering costs and increase of efficiency, minimizing additional labor and need for training, keeping existing IT infrastructure, minimizing technical support, increase of security and authenticity of digitizing, solving some future needs of organization or institution regarding digitizing documents. In this way, many obstacles that institutions or organizations are facing may be removed in attempt to archive in full extent its’ paper documents from the past, those that are generated presently and will be created in future.
